Job description:
1. Secure meeting space for office meetings, general assembly meetings, board meetings among others.
2. Liaise with program coordinator or representative for all arrangements to include any audio/visual requirements, catering for the meeting, etc.
3. Preparation of meeting documentation and distribution.
4. Organization of social functions such as lunches, negotiating menus and venues, sending invitations.
5. Review requisitions for goods and services to ensure correct expenditures have been charged and the availability of funds.
6. Process and pay local office payments as directed.
7. Adept in word-processing, correspondence, preparing documents. Draft and forward routine correspondence by mail, fax, or email.
8. Perform other related administrative duties, as required, e.g., identification of office technology needs maintenance of equipment, software and systems among others.
9. Maintenance of physical and electronic filing system for the Executive Director's Office.
10. Liaise with building management on issues that may arise with regard to space and work to resolve them.
11. Assist in making travel arrangements.
12. Assist in completion of travel claims and reports after travel has been completed.
13. Support local logistical needs of visiting partners or linkage.
14. Other related tasks as assigned.
Qualifications:
1. Candidates should be able to multitask, have above average written and oral communication skills.
2. Candidates with one to two years of related experience in the creative industry are preferred. Fresh graduates are still welcome to apply but must have a good academic record and skill sets.
3. Required communications skills are comprised of written and oral capabilities. S/he must have at least an above average command of the English and Filipino languages, and must have good telephone and customer relation skills.
4. Additional skills may include the ability to actively listen, use logic to identify strengths, weaknesses and solutions.
5. S/he must possess outstanding organizational skills, and must be proficient in computer applications such as word processing, spreadsheets, etc.
6. S/he must be comfortable greeting and meeting new people, and establishing professional relationships.
